Conduct a visit

Work a visit from arrival to completion — status, services, notes, and handing off to billing.

This is the everyday flow once you're with an animal: open the visit, record what you do, and complete it so it's ready to bill.

Prerequisites: an appointment with a visit for this animal.

Steps

  1. Open the appointment from the calendar. You'll see a card for each animal's visit.
  2. On the animal's visit, mark it In progress.
  3. Record what you do under Services — click Add service for each exam, vaccine, medication, or procedure. See Record services rendered.
  4. Write your clinical notes — internal notes for your records, client notes that can appear on the invoice. See Clinical notes.
  5. If you give out medication, dispense it from inventory so stock and billing stay accurate.
  6. (Optional) Record a weight or vital for the animal.
  7. Mark the visit Completed.

Repeat for each animal on the trip. When you're done, mark the appointment Completed too.

Visit statuses

A visit moves through: Scheduled → En route → In progress → Completed. If the animal isn't seen, mark it No-show or Cancelled.

You'll know it worked when…

The visit shows Completed with its services and notes recorded, and its charges are ready to turn into an invoice.

Tip: You can keep editing a visit's services and notes after marking it complete, up until the work is invoiced — so don't worry about getting every line in before you move to the next horse.
