Create an invoice

Turn a completed visit's work into a bill, with tax and any discounts applied.

An invoice is the bill a client receives. The usual way to make one is straight from the appointment you just completed; you can also create one directly.

Prerequisites: a visit with services recorded, or items to bill. Set real prices and tax first (see Set up your practice).

From an appointment (the common way)

  1. Open the appointment from the calendar.
  2. Find the billing area showing the unbilled work (its charges).
  3. Review the lines, the client to bill, the estimated tax, and the due date.
  4. (Optional) Apply an invoice-level discount or exclude lines you don't want to bill yet.
  5. Click Create invoice.

A draft invoice is created with the lines frozen as a snapshot.

Directly (no appointment)

  1. Go to InvoicesNew Invoice.
  2. Choose the client.
  3. Add lines from your service catalog or inventory.
  4. Set the service date and due date.
  5. Click Create.

You'll know it worked when…

The invoice appears in your Invoices list as Draft, with the correct client, lines, tax, and total.

Note: You don't mark an invoice "paid" by hand. Its paid state (Draft, Sent, Partial, Paid, Overdue) follows the payments applied to it.

Editing before you send

A draft invoice is editable — adjust quantities, prices, discounts, or add adjustments — before you send it.
